Hello Dropform Support Team,
I’m reaching out because my team and I are experiencing ongoing issues that are now affecting my company’s operations.
For the past several days, every intake form that comes in shows an error, and I am unable to view the submissions. This is preventing us from processing client files in a timely manner.
In addition, I have my workflow set up so that when a team member selects their name, the form should route to them. However, when they open the file, they cannot see the full intake form, including uploaded documents such as W‑2s, unless I manually send the files to them. This defeats the purpose of having a workflow and forces me to stay involved in every file, which is not sustainable.Another major concern is that the system is asking my team members to log in with a password to view client files. This would require me to share my personal login credentials, which is not acceptable. They should only need access to the clients assigned to them.I have been trying to resolve this for some time, but there is no phone number to call, so I am requesting urgent assistance via email. Please help me get this resolved as soon as possible so my business can continue operating smoothly.
Thank you,
Passionette

Podo: Support SpecialistHi Passionette,
Thanks for reaching out to Jotform Support. I'm an AI assistant here to assist you.
You can easily enable a Workflow on your form. Let me show you how:
- In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
- Then, in the menu on the left side of the page, click on Workflow.
- Hover your mouse over the Workflow and click on the Gear icon.
- Next, click on Enable.
This should help with routing the forms to the correct team members and allow them to see the full intake form including uploaded documents.
Regarding the login issue for team members to view client files, Jotform workflows and permissions should be set so that team members only access the clients assigned to them without sharing personal login credentials. If this is not working as expected, please verify your workflow and permission settings.
Reach out again if there’s anything else we can help you with.

Kris Ann JotForm SupportHi Passionette,
A screenshot or recording of what’s happening when you try to access your submissions would help us figure this out. You can use Loom or upload to Google Drive or Dropbox, then send us the link. We’ve also got a guide explaining how to send us a screenshot. Also, if you can send us the link to your form so I can take a look for you? You can easily find your form's URL in Form Builder. Let me show you how:
- In Form Builder, in the orange navigation bar at the top of the page, click on Publish.
- In the Quick Share tab, click on Copy Link in the Share With Link section.
And I separated your other questions into new threads so we can focus on each one properly. You can view and follow them here:Workflow Routing: Team Members Cannot View Full Intake Form and Uploaded Documents Automatically
Access Control: Preventing Team Members from Using Personal Login to View Client Files
Once you share the form URL with us, we’ll be able to help you better with this.
