Adding email notification on Approvals

    Good evening,


    How can I send an email notification to the person who prepared the form to inform him of the approvals made on the form at the end of the approvals automatically?


    Please help me with this matter in detail with the steps that must be followed

    Because I tried to send the approvals to the form implementer but unfortunately the notification does not reach him to the implementer's email knowing that the number of implementers on the form is more than 10 people

    Hi alqasayr2022,

    Thanks for reaching out to Jotform support. Sending email notification can be achieved by adding an email element to the approval flow of the form. Adding this element will email the recipient based on the flow you set in your approval flow. The owner of the form must be the one who will modify the form to automate the email notification process. Let me show you how:

    1. In Approvals, click on the Add Element on the left side of the page.

    2. Under the Basic tab, search for Email element.

    3. Drag and drop it in the flow. Modify the flow by connecting the email depending on the user action.

    By adding that to the approval flow, the owner or any email address added in the recipient will receive email notification based on the action taken.

    Can you also confirm that when you said implementer, you also mean the form owner? Can you also provide an email address so we can check if the email address is in the bounce list? The bounce list is a list to which an email address is added when an email can't be delivered. It could be due to a non-existent/inactive email address, your mail server being unavailable, your email server has rejected the emails due to suspected spam, your mailbox is full or Jotform is on your blacklist.

    The executor is the one who created or filled out the form, not the person responsible for such a form, for example.

    I cloned your form and tested it to see if I could replicate the issue, but everything was working properly. Check out the screenshot below to see my results:

    Does the issue occur only to a single email address, or does it also applies to multiple email address? Can you provide an email address where you think the email notification did not come through? And also, can you ask the person who fill out to check their junk/spam folder? Additionally, to confirm if the email has been sent, you can view your form email history from your account history settings. We have a guide on How to View Your Form Email Logs.
