Lisa PottsReplied on October 12, 2022 at 2:15 PMthanks for the reply. i tried to use the sign feature and it didn't work for me. i don't want to add a new document to be signed, i want to be able to add a step in the workflow that requests missing signatures from the original jotform submission. for example, i have a form that requires the person filling the form to sign and also a supervisor. i would like them to be able to go ahead and submit the form and then have it automatically email the supervisor to add their signature on the form then it is sent to me for approval. i could not get it to do this.

Hello Lisa,
Thanks for getting back to us. Can you share the form URL so I check your workflow? We will clone your form so we won't make any changes to your original form.
Alternatively, you can create two different signature fields, one for the user and one for the supervisor. Once the first signatory signs the form, simply send an email to the second signatory with the edit submission link so that the supervisor can edit the submission and add its signature.
Let me provide you with the steps:
- Make sure you have set up two Signature fields for the two parties.
- Set up an Autoresponder. As the Recipient, you can choose the supervisor's email field.
- You can set the supervisor's email to hidden.
- Insert the Edit Link into the Autoresponder. You can find it under the "Form Fields" on the Email Content editor. Or you can simply insert it by typing {edit_link}.
When the user fills out the form and submits it, an Autoresponder will be sent to the supervisor. They can click on the link, review the form, sign it, and resubmit.

I did create 2 different signature fields in the form itself. i did figure out to use the edit feature that you show below, but it sends so many automated messages. when i tried to turn that off and adjust the workflow (i used a conditional branch to try to signal signing and then start approval to avoid this) it was not actually requesting approval once the signature was added. i think i finally figured it all out using the edit feature, etc. i guess i was just hoping the signature feature would be more integrated with a dynamic form rather than a static document. it would help having to create so many workarounds in the workflow.
to help this make since this is my process:
investigator submits proposal for review. this submission must be signed by investigator and their supervisor (however, it would be ideal to electronically request the supervisor signature whether than it being required in order to even submit the form in the first place).
my and / or someone on my team reviews the proposal. i have a team of potential reviewers for any given submission (depending on the level of review needed). i would like to be able to have it cycle through a list of emails with each new submission rather than always coming to me to be reassigned---is this possible??
decision of review can be approve, deny (which acutally initiates additional action like escelation), or approve with conditions.
approve with conditions means we need to send an official letter back to the investigator and their supervisor including the specific edits that need to be made on their original form / attached documents.
investigator makes suggested edits and resubmits proposal / form.
this revised submission triggers approval needed again.
you can hopefully see that i've tried to work this all out with the approval flow. any tips you have to make this less complicated would be great.

Hi Lisa,
Thanks for reaching out to Jotform Support. I understand how complicated the flows can be. There is a way to make this flow a little smoother. Let me show you how:
First, we'll make sure that the Investigator only sees the parts of the form he/she needs to fill out. We just need to utilize the Get Form Page URL Widget and Conditional Logic.
- In Form Builder, click on the Add Form Element, select the Widget tab, search for the Get Form Page URL widget, and add it to your form.
- Then, create these 3 Conditions below:
Show Multiple Condition
Hide Condition
Change Email Recipient Condition
- For the Principal Email (Autoresponder Email), you would need to insert the Edit Link in its Email Content.
After all of these are set, your Investigator and the Principal would be able to fill out the form individually, without needing to be part of the Approval Flow.
Your first Approver will then receive the email prompting him/her to Approve or Deny the submission. You could also add the edit link inside the Approval Request Email. Use the screenshot below as a reference.

Now, if the Approver Denies the application, you can send the Submission back to the Investigator and/or the Principal through the Approval Flow. Here's how:
- In your Approval Flow, click on Add Element, select the Email element, and add it to your flow.
- Insert the Edit Link by clicking on the Envelope icon, click on Form Fields, then select Edit Link.

Thank you for getting back to us. Please note that our system does not count test submissions made throughout the form-building procedure. The system detects the device editing the form, and submissions made from that device are not counted toward your account's submission limit.
Additionally, completing some of our Jotform tasks can increase your submission quota.
