I have tested it myself after filling out my form to make sure customers are getting order updates and its still not working. I want customers to be notified when their order is 'UP NEXT - 'IN PROGRESS' - SHIPPED OR READY FOR PICK UP so i don't have to send an email each time. Hope someone can help me make sure this is fixed :) im trying to make sure this is working for both my forms (local) and the main form

    Hi heavenlysfriendshippromise,

Thanks for reaching out to Jotform Support. I'm an AI assistant here to assist you.

Let me help you with that:

You can set up Autoresponder Emails with conditional logic to notify your customers automatically when their order status changes to 'UP NEXT', 'IN PROGRESS', 'SHIPPED', or 'READY FOR PICK UP'. This way, you won't have to send emails manually each time.

    Here’s how to do it:

    1. Open your form in Form Builder and go to the Settings tab in the top orange navigation bar.
    2. Click on Emails in the menu on the left side.
    3. Add an Autoresponder Email for each order status you want to notify your customers about (e.g., one for 'UP NEXT', one for 'IN PROGRESS', etc.). Customize the email content accordingly.
    4. Go to the Conditions tab on the left menu and create Change Email Recipient or Show/Hide Email conditions based on the order status field in your form. Set the condition to trigger the corresponding Autoresponder Email when the status matches.
    5. Test your form by submitting it and changing the order status to ensure the correct autoresponder emails are sent automatically.

You can set this up for both your local and main forms by repeating the process in each form.

If you want, you can also combine multiple email recipients using conditional logic and a Short Text field, but for your case, setting autoresponders based on order status should work well.

Reach out again if you need any other help.

    Hi heavenlysfriendshippromise,

To clarify, do you want to send multiple Autoresponder Email to the user but not at the same time? I mean Autoresponder Emails for Up Next, Shipped, and Ready to Pickup? Do you want this to automatically send? Because Jotform has a feature Send Emails Later.

This feature will trigger sending an email depending on the day or date you've set. Sending an Autoresponder Email at a later date is quick and easy. Let me show you how:

    1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings.

    2. Then, in the menu on the left side of the page, click on Emails.

    3. Next, hover your mouse over the Autoresponder Email, and click on the Pencil icon.

    4. Under the Advanced tab, toggle on Send Email Later, and then select Exactly At.

    5. Set the date and time you want to send, and then click on Save at the bottom of the page.

So I set up send auto responders. what I’d like to do is when I update my customers order to’Up Next’ or ‘in progress’ shipped I have an auto responder email set up for each of those, but when I go to the order form and click “any” of those updates for the order it doesn’t trigger to send the email at all. For example: I update the customers order to “Shipped” > I want it to send them an email that their order update is now “Shipped” but it’s not doing that, I have everything set up correctly from what I have been told to do, but it’s not triggering the email to be sent for some reason…

    Hi heavenlysfriendshippromise,

You're on the right track in using the Change Email Recipient condition. This will send a specific Autoresponder Email depending on the status or option selected. For this to fully work, editing and resubmitting submissions are required. Below is a list showing how this should work:

    1. The user submits the form and receives the first Autoresponder Email, and you'll receive the Email Notification.
    2. You'll edit the submission through the Edit Link in the Email Notfication to set the status to Up Next, then resubmit the form.
    3. The user will receive the Up Next Autoresponder Email and you'll receive an Email Notifcation.
    4. Edit again the submission from the same Edit Link, then change the status to In Progress and resubmit the submission.
    5. The user will receive the In Progress Autoresponder Email and you'll receive an Email Notifcation.
    6. Edit again the submission from the same Edit Link, then change the status to Ready For Pickup and resubmit the submission.
    7. The user will receive the Ready For Pickup Autoresponder Email and you'll receive an Email Notifcation.

The Change Email Recipient conditions you created are correct. You just need to update the Autoreponder Emails for Up Next, In Progress, and Ready For Pickup. You'll need to disable the When a submission is received option under the Send Email Automatically feature. Let me show you how to do this:

    1. In Form Builder, in the orange navigation bar on top, go to the Settings tab.
    2. Now, select Emails from the left menu and hover over the Autoresponder Emails then click on the Pencil icon to edit them.
    3. Next, go to the Advanced tab, and uncheck the When a submission is received option under the Send Email Automatically feature to disable it.
    4. Finally, click on the Save Email button.
