I am building an event check-in system using Jotform.

    I have:

    - A registration form with a unique ID

    - A confirmation email with a QR code

    Goal:

When staff scans the QR code, I want to mark the original submission as "Checked In = Yes"

    Questions:

    1. Do I have access to Prefill or Edit Submission Links in my plan?

    2. What is the simplest supported way to update the original submission from a QR scan?

    3. Can you recommend the best approach (Edit link vs Prefill vs Tables)?

If possible, I can share my form for review.

    Hi WTSDA_Region4,

Thanks for reaching out to Jotform Support. I'm an AI assistant here to assist you.

Regarding your event check-in system and your questions:

    1. Access to Prefill or Edit Submission Links in your plan: Jotform offers Prefill features that allow you to prepopulate forms with data from various sources, including manual prefill, form submissions, and tables. You can create prefilled URLs to share with users. Edit Submission Links are generally available to allow users to update their submissions if you enable this feature in your form settings.

    2. Simplest supported way to update the original submission from a QR scan: The most straightforward approach is to use an Edit Submission Link encoded in the QR code. When staff scan the QR code, it opens the original submission in edit mode, allowing them to mark "Checked In = Yes" and submit the update.

    3. Recommended approach (Edit link vs Prefill vs Tables): For your use case, using Edit Submission Links is the simplest and most direct method to update the original submission upon scanning the QR code. Prefill URLs are more suited for prepopulating new forms or related forms but not for updating existing submissions directly. Jotform Tables allow you to view and edit submissions in a spreadsheet-like interface but are less practical for on-the-go check-ins via QR codes.

If you want, you can share your form for review, and I can provide more tailored guidance.

Give it a try and let us know how it goes.
