On the approval flow for our form, the approver is stating that Jotform is barring them from hitting approve or deny and stating they need access. We have the approval setting set to not require a login. Why is this the case?

    Hi Hometeam_leasing,

Thanks for reaching out to Jotform Support. I'm an AI assistant here to assist you.

In Jotform Workflows, approvers can complete approval tasks without logging in only when Require Login for Approver is turned off in the Approval element properties. If the approver is still being asked for access, the approval step may be using a setting that still requires login, or the approver may be opening the request through a path that is tied to logged-in access.

    Here’s how to check it:

    1. Open Workflow Builder and select the gear icon on your Approval element.
    2. Scroll to the General tab and confirm that Require Login for Approver is set to Off.
    3. Check whether the approver is using the email approval link. If login is not required, they should be able to choose their response right after following the link in their email.
    4. Review whether the workflow uses Approve & Sign, since that element also has its own login requirement setting.

If login is required, approvers need to log in to their account to process the request. If login is not required, they can respond directly from the email link and be redirected to the approver action page.

Give it a try and let us know how it goes.

I've confirmed that it's set to off and there is no "sign" part of the element either. They are using the proper link.

    Hi Hometeam_leasing,

Thanks for confirming that. Based on the available information, if Require Login for Approver is off and the approver is using the email link, they should be able to choose their response right after following the link in their email.

The knowledge base does not include another reason for the access prompt beyond the login requirement setting in the Approval element or the Approve & Sign element. It also notes that logged-in approvers can check previously completed approvals and complete pending tasks in Jotform, while non-logged-in approvers should respond directly from the email link.

If the approver is still being blocked after confirming those settings, I don't know this information and our support team will handle your request.

Give it a try and let us know how it goes.

    Hi Hometeam_leasing,

When I cloned and tested your form, everything worked the way it was supposed to. Take a look at the screencast below to see my results:

I've cleared your form cache to resolve any temporary issues. Can you go ahead and have them try it again? If the same thing happens again, can you share a quick screen recording of what’s happening so we can try to replicate it on our end? You can upload it to Google Drive, Dropbox, or record with Loom and send us the link.

Give it a try and let us know how it goes.
