Zapier: Add Send Sign Document as Zap action

    I am building an automated client onboarding system for an accountant using Typeform, Zapier, and Jotform Sign.

    The workflow requires that when a new client submits a Typeform, Jotform Sign automatically sends an invitation to that client to sign an existing engagement letter, replicating what is currently done manually by pressing 'Invite to Sign' within the Jotform Sign interface. This needs to happen without any manual intervention.

    After playing around with the Jotform Zapier integration, it appears that even with a custom Webhook, there is no way to trigger the 'Invite to Sign' functionality on an already existing sign document. This is a critical blocker for our automation.

    I have a few questions:

    1. Is there any way within the current Zapier integration to automatically trigger an 'Invite to Sign' on an existing Jotform Sign document, sending the invitation to a specified email address?
    2. If not, is this functionality available via the Jotform API? If so, could someone point me to the relevant endpoint?

    The accountant that I am creating this automation for are 8 months into an annual subscription and are a small business, so switching platforms would represent a financial loss for them.

    We are very keen to make this work within Jotform if at all possible, and any guidance or workaround you can provide would be greatly appreciated.

    So is using Zapier to automatically trigger the 'invite to sign' feature on an engagement document is not possible at all?

    Based on the information available, Zapier does not show a supported action for automatically triggering Invite to Sign on an existing Jotform Sign document.

    The confirmed Zapier actions for Jotform are Assign Form, Assign Prefilled Form, and Create Submission. The knowledge base also confirms that Sign documents can send automatic reminder emails after an invitation has already been sent.

    What is not confirmed is any Zapier action or API endpoint that starts the Invite to Sign flow on an already existing Sign document.

    So, based on the available information, I cannot confirm that this is possible through Zapier, and I also do not have a confirmed API endpoint for that action.

    Hi Hashim,

    Unfortunately, automatically assigning and sending Sign Documents is not a feature that is available at Jotform at the moment, with Zapier or API.

    While the feature you're looking for isn't available at Jotform right now, we've gone ahead and escalated your request to our developers. Exactly when or if it's developed depends on their workload, how viable it is, and how many other users also request it. If there are any updates, we’ll circle back to this thread and let you know.

    As an alternative, you can create a Smart PDF Form and enable Sign Flow in it. This way, your users will see a web form, and you'll get PDF Document with their information and signature. Let me show you how to create it:

    1. On your Workspace page, click on Create on the top-left side of the page.
    2. Select Form from the assets, and then click on Document To Form.
    3. In Smart PDF Forms, click on Upload Document, and then select the PDF you want to convert to a form, or just drag and drop the PDF into the white upload area.

    Sometimes the fields automatically created in the PDF file end up in the wrong place. If that happens, you’ll need to move and resize them. Check out the screencast below to see how it’s done:

    After this, you can easily enable Sign Flow:

    1. While in Form Builder, click on Settings at the top blue bar.
    2. From left menu, select Jotform Sign.
    3. Click on Enable Jotform Sign Automation.

    After this, your form will act like a Sign Document, and you'll be able to use Zapier and the Assign Form feature to share it.

    Hi there,

    I appreciate the alternative; I just have a few questions regarding how this works.

    With my clients current Jotform sign document, they can see the date and time for when their client opens and signs the document. This is a critical feature for them and the main reason for you using Jotform Sign. 

    Regarding this, I have some more questions:

    1. Does the alternative method you have shared grant the same features? 
    2. If so, does this method allow for one document ’template’ of our engagement letter to be sent, and not having to duplicate the form per new client? (The same structure as our current engagement letter?)
    As for the Zapier integration, I am assuming that if we can proceed with this method, an action will appear to share the form to an email? Can I confirm this please.

    I checked, and yes, based on the workflow you described earlier in Zapier, you can have the Typeform submission trigger an outbound email with the link to your Smart PDF Form.
