Scotguardi know you can protect each form but i would like to protect app in stead of protecting multiple apps , as if a member of staff left their position i can change password to restrict acsess to app before they even see forms

Regarding your request to protect an entire app instead of individual forms, Jotform offers a feature in the App Builder that allows you to require users to log in before accessing specific pages within your app. This means you can control access at the app page level rather than setting passwords on multiple forms individually.
Here’s how to require login for pages in your Jotform app:
- At the bottom of App Builder, click on the tab for the page you want to require login for.
- On the right side of the page tab, click the Three Dots icon, then select Require Login from the menu.
- Now, when users navigate to that page, they will be prompted to sign in before accessing it.
Additionally, you can enable a registration requirement for your entire app, which means users must create an account or log in to use the app. To do this:
- In App Builder, click Publish in the purple navigation bar at the top.
- Click Settings next to Your App Link tab.
- Check or uncheck Enable Require Registration to enable or disable registration requirement.
This setup allows you to manage access centrally. If a staff member leaves, you can change the login credentials or disable their account to restrict access to the app before they can see any forms.
If you want to protect individual forms with passwords, that is also possible, but for app-wide access control, the login and registration features are the recommended approach.

Since there's no option to password-protect the app, the workaround is to set the app as Private and remove the user once they leave the company. Let me show you how:
- In App Builder, in the orange navigation bar at the top of the screen, click on Publish.
- Click on Quick Share on the left side of the screen.
- Finally, click on the Settings and select Private Access.
Next, remove the user.- In App Builder, in the orange navigation bar at the top of the screen, click on Publish.
- Click on App Users on the left side of the screen.
- Finally, click on the 3 dots icon on the right side of the user and click on Remove user below.

ScotguardI did as you said, but if the employee downloads app on phone even if I delete user from app users they can still access said app on their phone

I create a form that's in Public Access. Then I installed it on my mobile device. After that, I changed the app to Private Access following my teammate's instructions. I went back to my mobile device, but I can no longer access the app. Below are the screenshots of how I set this up:
The screenshot below will prompt the user after you set the app to Private Access:
Take note that setting the app to Private Access needs to send invitations to users, and they should have Jotform accounts.
