Disconnect from PayPal and missing data in tables

We tried changing email addresses for notifications and making some changes to the form, but after we signed out of Jotform, our PayPal integration disconnected from the form. We were not notified, and we have no idea how this happened. Some people were able to register for our program without paying, and others could not access the form at all. We successfully reconnected to PayPal; however, I'm worried it might happen again. We also now have some missing data in our table, such as payment method and transaction ID, for all the people who registered before this issue. The columns for this are now empty. Is there a way to restore the data in these columns?

I'm also curious whether we can add a person who can access a form and tables so we can collaborate, make changes when necessary, and share information?

    Thanks!

    Hi Calvin,

Thanks for reaching out to Jotform Support. I'm an AI assistant here to assist you.

Regarding your PayPal integration disconnecting after signing out and the missing payment data in your tables, here are some important points and solutions:

PayPal Integration Disconnects: Some older PayPal products, including PayPal Invoicing and PayPal Checkout, have been discontinued. PayPal Standard was removed on December 31, 2025. To avoid disruptions, you need to switch to the updated PayPal integration (simply called PayPal) without deleting the existing payment gateway to preserve data. This new integration supports features like Fastlane, Venmo, and Buy Now Pay Later.

Missing Payment Data in Tables: If you deleted the old payment gateway, the linked payment data such as payment method and transaction ID may be lost. Unfortunately, restoring this data directly in Jotform is not possible if it was deleted. However, if the payments were processed but not marked complete due to IPN (Instant Payment Notification) issues, you can check your PayPal account's IPN history and resend any missed IPN messages to update the payment status in Jotform.

Adding Collaborators: You can add people to your Jotform Workspace or share forms and tables with collaborators. This allows them to access, make changes, and share information collaboratively. You can manage user roles and permissions to control what collaborators can do.

    Let me show you how:

    1. Switch to the updated PayPal integration: Follow the guide on how to switch your payment gateway to the latest PayPal integration without deleting the old one to avoid losing data.
    2. Resend missed IPN messages: In your PayPal account, go to the IPN History page and resend any unsent IPNs to update payment statuses in Jotform.
    3. Add collaborators: In your Jotform Workspace, invite team members and assign appropriate permissions to collaborate on forms and tables.

If you want, I can provide detailed steps or guides for any of these actions.

We only signed up for Jotform less than a month ago. Why would PayPal disconnect? Wouldn't I have the updated integration?

    Hi Calvin,

Since you signed up for Jotform less than a month ago, you should have the updated PayPal integration by default. Jotform enabled the Reusable Payment Connection feature as the default for all new users starting February 2025. This means you don't need to reconnect PayPal each time you create a new form, and the connection should be stable.

However, there are a few reasons why PayPal might disconnect unexpectedly, such as changes made to the form or account settings, or if the PayPal account itself requires reauthentication. Also, older PayPal products like PayPal Invoicing and PayPal Checkout were discontinued, so if your form was somehow connected to an outdated integration, it might cause issues.

To ensure your PayPal integration remains connected, make sure you are using the latest PayPal integration (simply called PayPal) and avoid deleting the payment gateway from your form. If you want, I can guide you on how to verify and maintain your PayPal connection properly.

    Hi Calvin,

You do not pay extra for collaborators if you are using Jotform's Workspace feature, which allows you to add team members to collaborate on forms and tables.

Let me help you with that:

    1. Add collaborators to your Workspace: Go to your Jotform Workspace, click on the Workspace name, then select Invite Members. Enter the email addresses of the people you want to add and assign appropriate roles and permissions.
    2. Set permissions: You can control what collaborators can do, such as view, edit, or manage forms and tables.
    3. Collaborate: Once added, collaborators can access the forms and tables, make changes, and share information as needed.

Regarding verifying and maintaining your PayPal connection, here’s how to integrate PayPal Business using Reusable Payment Connections:

    1. In Form Builder, click on the Add Element menu on the left side of the page.
    2. Go to the Payments tab and click on PayPal.
    3. Click on the Plug icon in the menu on the right side.
    4. Add a Connection Name and click Connect with PayPal.
    5. Log in to your PayPal account in the window that opens.
    6. Return to Jotform and click Save.
    7. Enable the payment methods you want in the Payment Method section.
