QuickBook Integration: Ability to Create Bill

I am a current user trying to automate my contractor payout workflow. My goal is to have new form submissions automatically create a Bill (not an Invoice) in QuickBooks Online to record payments owed to independent contractors.

According to your QuickBooks Integration landing page, the integration is advertised to:

"create new item-based or account-based bills, credit memos, customers, estimates, expenses, products or services, journal entries, or invoices in your QuickBooks dashboard."

However, when I navigate to Settings > Integrations > QuickBooks in my Form Builder, I only see options for "Create Customer" and "Create Invoice.". The "Create Bill" functionality is missing from my dropdown menu.

Could you please clarify the following:

    1. Is the "Create Bill" functionality available in the standard QuickBooks integration, or is it limited to specific account tiers (e.g., Enterprise)?
    2. Are there specific form settings or field types required to "trigger" the visibility of the Bill creation option?
    3. If this feature is currently in beta or has been moved, how can I activate it for my account?

    Technical Details for my Form:

    • Form Name: Independent Contractor Invoice Form
    • Use Case: Automating contractor payouts (Accounts Payable) based on a 60/40 fee split.

I look forward to your guidance on how to enable this feature so I can avoid using third-party automation tools.

    Hi John,

Thanks for reaching out to Jotform Support. I'm here to assist you.

Regarding your question about the QuickBooks Online integration and the missing "Create Bill" option, based on the current knowledge base, the standard QuickBooks integration in Jotform primarily supports creating Customers and Invoices directly from form submissions.

There is no explicit mention that the "Create Bill" functionality is available as a standard option in the integration dropdown menu within the Form Builder. Also, there is no information indicating that this feature is limited to specific account tiers or that special form settings or field types are required to trigger the visibility of the Bill creation option.

It appears that the advertised capability to create bills, credit memos, and other entities may be part of broader integration capabilities but not necessarily exposed or activated in the current standard integration interface for all users.

Currently, there is no available information about this feature being in beta or a process to activate it for your account.

If you want to automate contractor payouts by creating Bills in QuickBooks Online directly from form submissions, you might need to consider third-party automation tools or custom API solutions as a workaround until this feature becomes available in the standard integration.

Let us know if you need help with alternative solutions or further assistance.

Give it a try and let us know how it goes.

Our organization would also be very interested in the Create a Bill feature which should strongly mirror the Create an Invoice feature. Does Jotform mangage the integration or QuickBooks/Intuit? Who could we reach out to about updating the integration?

    Hi John,

While the feature you're looking for isn't available at Jotform right now, we've gone ahead and escalated your request to our developers. Exactly when or if it's developed depends on their workload, how viable it is, and how many other users also request it. If there are any updates, we’ll circle back to this thread and let you know.

Thanks for your patience and understanding, we appreciate it.
