Encrypted Form: How to Download Individual Submission PDFs

    I have an encrypted form and I want to download the submission pdf one at a time. What do I click to do that?

    To download the submission PDF one at a time from your encrypted form, you can use the PDF Editor in Jotform. Here’s how to do it:

    1. Click on More and then select Open PDF Editor.
    2. In PDF Editor, click on the Download button located at the top-right corner.
    3. If your form has multiple submissions, a menu will appear allowing you to choose to download a single submission or all submissions. Select the option to download a single submission.

    Note that for encrypted forms, you will need to decrypt the submission first by clicking the Decrypt button and entering your private key when prompted before downloading the PDF.

    There is no Download button.

    Hi Donna,

    Thank you for the update. If you do not see a Download button in PDF Editor for your encrypted form submissions, please note the following:

    • PDF Editor generally allows downloading a single submission or all submissions as a PDF.
    • For encrypted forms, you must first decrypt the submission by clicking the Decrypt button and entering your private key before the download option becomes available.
    • If the Download button is still not visible, you can alternatively download submissions directly from Jotform Inbox:
    1. Open Jotform Inbox and select the submission you want to download.
    2. Click on Download at the top and choose PDF format for that single submission.

    This method also supports downloading submissions one at a time.

    Hi Donna,

    The PDF Downloads will become unavailable when form encryption is enabled on your form, including the ability to download PDFs directly from the Inbox. While you can still view the data in the PDF Editor and print it, the option to download individual submission PDFs from the Inbox is disabled for security reasons. Here’s why this happens and what you can expect:

    • Form encryption protects sensitive data by encrypting submissions end-to-end.
    • Due to this encryption, PDF downloads from the Inbox are disabled to maintain data security.

    I cannot download OR print the encrypted form. Where do I find the print button if download is not an option?

    In Jotform Inbox, you can click the three dots on the right to find an option to print the form.

    Alternatively, in Jotform Tables you can select an individual entry by clicking the three dots next to it and clicking "view entry." From there, you can click the print icon in the upper right corner.

    I am on PDF Editor page. What to I press to print the pdf?

    Hi Donna,

    It is currently not possible to print an encrypted PDF from the form editor. If you want to print a PDF from the form editor, you would need to disable the encryption within your form's settings. Once you do so, you could edit the PDF, print/download it, and then re-encrypt the form data.

    I get that this is inconvenient, but it is done for security purposes. If you want that service in the future, you can submit it as product feedback for the future and the development team can take a look at it.

    Hi Donna,

    I wanted to let you know that I tried hitting command + P on my keyboard and was able to print and download the PDF from the PDF editor. Let me know if that works for you! If not, feel free to go through the feedback submission process.

    If I print, it adds an extra page between each page.

    If I un-encrypt, the form will print, but it is all gibberish.

    Hi Donna,

    Currently, there isn’t another workaround for this behavior. When form encryption is enabled, downloading submissions will no longer be available, and printing will depend on how your browser renders the page.

    It's also important to note that disabling encryption only applies to new submissions moving forward. Any existing encrypted submissions will remain encrypted and won’t be converted or displayed differently.
