We received a notice that our account is approaching the upload space limit.

I wanted to confirm how Jotform calculates upload space usage. Do form submissions themselves count toward upload space, or is upload space only affected by files uploaded through forms?

Also, if we delete old submissions, does that reduce upload space usage, or does upload space only go down if uploaded files are permanently removed?

    Hi Yankee,

Thanks for reaching out to Jotform Support. I'm an AI assistant here to assist you.

Regarding your questions about upload space usage in Jotform:

    1. What counts toward upload space?
The upload space usage is affected only by files uploaded through your forms, such as documents, images, and other media collected directly via form submissions. The form submissions themselves (the data without files) do not count toward the upload space.

    2. Does deleting old submissions reduce upload space?
Deleting old submissions alone does not immediately reduce your upload space usage. To free up upload space, you need to delete and purge the uploaded files attached to those submissions. This means you can either:

    • Delete individual uploaded files from submissions.
    • Delete and then permanently purge submissions that contain uploaded files.

Only after purging (permanently deleting) those files or submissions will your upload space be freed.

Here’s how to free up upload space:

    1. Delete uploaded files attached to submissions: Open your Jotform Submission Table, click on the uploaded file, then click the Trash Can icon in the preview window, and confirm deletion.
    2. Delete and purge submissions: Select submissions with uploaded files in your Submission Table, delete them (move to Trash), then go to the Trash folder and permanently delete (purge) them.

Remember to download any important submission files before deleting them to avoid data loss.

Also, if your upload space does not update immediately after deletion, you may need to clear your form cache to force the system to recalculate your usage.

For a visual explanation and more details, you can watch the related Jotform video at 2:15 to 3:46 where the upload space and how to manage it are explained clearly.

Give it a try and let us know how it goes.

    Hi A_YANKEE_LINE,

Based on your account information, the upload counts for the two forms are:

These uploads contribute to your overall storage usage of 7.02 GB of 10.00 GB. You can delete and purge submissions to free up space on your account in just a few steps. Let me first show you how to delete a submission:

    1. In Jotform Tables, select the submission you want to delete.
    2. Next, click on Delete at the top right side of the Tables page
    3. Now, in the Confirmation window that opens, click on Move to Trash

Before deleting, make sure to download the submission first so you have a backup copy. Deleting submissions won’t free up space on your account, and they can be recovered within 30 days. After 30 days, they will be permanently removed. To free up space on your account, you can purge the submissions. Let me show you how:

    1. In Jotform Tables, click on the Three Dots icon next to your form title in the tabs.
    2. Then, click on Trashed Entries.
    3. Next, in the window that opens on the right side of the page, select the submission you want to delete, and then click on Delete Forever.
    4. Now, in the Confirmation window that opens, click on Delete.

If your account upload limit is still showing as over the limit, it is also recommended to clear the form cache after purging the data.
