Jotform Approvals: Automatically Randomly Assign Submissions to 2 of 4 Approvers

I am building a workflow in Jotform Approvals with a pool of 4 possible approvers. I need to automatically and randomly assign each submission to exactly 2 of those 4 people. The goal is to ensure transparency and eliminate bias by preventing the same individuals from consistently reviewing the same types of requests.

    Hi CUBE_cube,

Thanks for reaching out to Jotform Support. Regarding your question on how to randomly assign each submission to exactly 2 out of 4 possible approvers in Jotform Approvals to ensure transparency and eliminate bias, here is what you can do:

Jotform Workflows' Approval element allows you to add multiple approvers and set completion rules, but it does not have a built-in feature to randomly assign a subset of approvers automatically per submission. However, you can manage approvals with group approval features and completion rules such as requiring responses from a certain number of approvers.

To achieve your goal of randomly assigning 2 approvers out of 4, you would need to implement a workaround outside of the default Approval element, such as:

    • Using form logic or conditions to route submissions based on random or rotating criteria to different approval paths with assigned approvers.
    • Creating multiple approval branches in your workflow, each with different pairs of approvers, and using conditions to send submissions to one of these branches randomly or in rotation.

Unfortunately, Jotform does not currently provide a direct random assignment feature within the Approval element itself. For detailed setup, you can explore the Workflow Builder guide and the Group Approval feature to customize your approval process.

Let us know if you have any other questions.
