Good Morning,
I am trying to create an RSVP form that I can send out every month to have each of our Board of Trustees RSVP for the different Committee Meetings held on one day each month. I have the form created and it looks great. However, I am having the following issues...
- When I enter the Trustees email addresses through the Jotform platform (not via a link), the subject line that they received said "New form assigned to you!". It didn't say the name of the document or anything close to that. I understand that I can change the subject of the Email I get when someone completes the form. But I want to change the subject line that the recipient receives when I send out the initial form to complete.
- When I use the "Invite by email" option, it appears to make the recipient log in. Is there a way to use the "Invite by email" option and have it go directly to the form, no login of any kind required? I know the shareable link does indeed go directly to the form; however, if I use the link and send it through my Outlook email, how will reminders get sent for those who have not completed their form yet? Jotform will have no idea who to remind.
- Also, will the reminders only go to those who have not yet completed the form, or does the reminder go to everyone invited?
Thank you in advance for all your help.

Hi Hannah,
Thanks for reaching out to Jotform Support. I'm an AI assistant. I'll do my best to help you until someone from the support team is available.
Regarding your questions about your Board Meeting RSVP form:
1. Changing the subject line of the initial email sent when assigning the form: Unfortunately, the default subject line "New form assigned to you!" is set by Jotform and cannot be customized for the initial assignment email sent through the platform. However, you can customize the subject line of notification emails you receive when someone completes the form.
2. Using "Invite by email" without requiring login: The "Invite by email" option in Jotform requires recipients to log in to complete the form if you have enabled the assignment feature for tracking purposes. This is to ensure that only the invited users can submit responses and that reminders are sent to the correct people. If you send the form link via Outlook or other email clients, recipients can access the form directly without logging in, but Jotform will not be able to track who has responded or send automatic reminders.
3. Sending reminders: When you use the assignment feature and invite users via email through Jotform, reminders are sent only to those who have not yet completed the form. This helps you track responses efficiently.
Let me know if you need guidance on setting up email notifications or reminders for your form.

Are there settings I can change to make it so that the "Invite by email" option goes straight to the form and does not require recipients to log in?

Hi Hannah,
Regarding your question about the "Invite by email" option going directly to the form without requiring recipients to log in, currently, Jotform's assignment feature requires recipients to log in to ensure that only invited users can submit responses and to enable tracking and reminders for those who haven't completed the form.
There is no setting to disable this login requirement while still using the "Invite by email" feature for assigned forms. If you send the form link directly via email (e.g., through Outlook), recipients can access the form without logging in, but Jotform will not be able to track who has responded or send automatic reminders.
If you want to use reminders and track responses, the login requirement is necessary for the assignment feature to work properly.
Let me know if you need help with anything else.

I will not be able to use your service because of this. I need to be able to have a direct line to the form

Hi Hannah,
Currently, the Invite by Email email format isn't fully customizable. The only emails you can customize in the Email section of your form settings are the Notification and Autoresponder emails, which are triggered after form submissions.
If you want to send a customized invitation email, a common workaround is to create your own email outside of Jotform and include the form link manually. You can easily find your form's URL in Form Builder. Let me show you how:
- In Form Builder, in the orange navigation bar at the top of the page, click on Publish.
- In the Quick Share tab, click on Copy Link in the Share With Link section.
I’ve gone ahead and moved your other questions to separate threads to keep things tidy, and someone from our Support Team will help you with them here:
- How to not require log-in when using Invite by Email?
- Will the reminders only go to those who have not yet completed the form or does the reminder go to everyone invited?
Let us know if you have any other questions.
