Automatically Redirect Signers to the Next Sign Document After the First One is Completed

Hi, I have been using your forms, and I've encountered an issue: clients need to sign certain documents, but after signing them, they often believe they have completed the application and don’t return to finish it. As a solution, you suggested implementing a workflow to ensure they complete the application before leaving.

I’m trying to set up this workflow, but I'm unsure how to configure it so that the system recognizes which of the four documents clients need to sign based on their answers in the form. Currently, the form understands the conditions, but the workflow does not, and I'm also receiving some errors. I need guidance on how to set it up so that clients only have to sign the documents relevant to their responses, rather than all four. Thank you!

Additionally, there is a question asking how long they have been renting, but I never receive the answer in the email. To find that information, I have to access the application because it is the only response that does not appear in the email summary.

    Hi Santiago,

Thanks for reaching out to Jotform Support. The errors you're seeing are because the Sign Document steps aren’t connected to anything after they're completed. You’ll need to link each outcome to the next step so the workflow knows what to do next.

Also, to make sure clients only see the documents that apply to them, each Sign Document should be placed inside a conditional branch based on their answers. That way, they won’t be prompted to sign all fou, just the ones relevant to their responses. To fix this, you need to replcate the If/Else Condition Element with a Conditional Branch. Let me show you how:

    1. In Workflow Builder, click on the Add element on the top left side of the page.

    2. Then, scroll down and drag and drop the Conditional Branch Element into your workflow.

    3. Click on Add Condition on the Conditional Branch Element, and click on Add a new branch.

    4. Set up the Conditional Branches like you see below:Automatically Redirect Signers to the Next Sign Document After the First One is Completed Image 2 Screenshot 61Automatically Redirect Signers to the Next Sign Document After the First One is Completed Image 3 Screenshot 72

    5. After that, link your elements and continue adding your elements after the Sign Document Element and make sure to add the End Element once done.

Thank you very much for your guidance. I followed your instructions, but when I tried to publish and test the application, it didn't work as expected. After completing the application, I wasn't directed to sign the documents based on my answers. Instead, I only received a thank-you email.

The goal is for clients to finish the application and, upon completion, be directed to sign the documents. This way, I can ensure that I receive their completed applications, as currently, many people are leaving without finalizing the process.

    Hi Santiago,

Based on your description, you want them to be automatically redirected to the next Sign Document right after they completed the first one. If so, this feature is currently not available in Sign Documents. The Workflow that you've set up would send an email to the signer after the first Sign Document is completed. But we do have a Redirect to an external link after submission feature that's available in forms.

To clarify, do you have your own copy of the documents in your device? If yes, can consider importing your document individually into Jotform as a Smart PDF Form. Let me show you how to do it:

    1. On your My Workspace page, click on Create on the top-left side of the page.
    2. Select Form from the assets, and then click on Smart PDF Form.
    3. In Smart PDF Forms, click on Upload Document, and then select the PDF you want to convert to a form, or just drag and drop the PDF into the white upload area.

If that happens, you’ll need to move and resize them. Check out the screencast below to see how it’s done:

    1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
    2. In the menu that opens on the left side of the page, click on Thank You Page.
    3. Now, select Redirect to External Link and paste the URL of the second form.
