Hi, I've been developing a suite of documents for my client where the data from hubspot is pulled in and the forms adapt conditionally.
After 8 weeks of trying to get the forms to perform correctly, I now am running into huge issues with adapting the pdf templates to mask/copy/duplicate all of the hidden fields. I want the client to receive a full copy (not summary) of the entire PDF as signed, with contract type and pricing confirmed. The last support I got may not really a working solution due to the time it would take, I have 12 forms that I will need to replicate on this method. But was hoping the below might work as I'm not going to have the displayed paragraphs issue if I move to 8 separate forms.
I have a method which may work for me, if it's possible in jotform.
Scenario;
I have 2 types of customer; 1. Individual, 2. Partner / Couple
I have 4 types of service level; 1. Standard, 2. Enhanced, 3. Absolute Foundation, 4. Absolute Complete
When I combine the variables above I have 8 different contract types with 8 corresponding prices.
Unfortunately, because of the issue mentioned above, I think I have to accept that I will need 8 separate jotforms for these scenarios, however, if I clone the entire contract and the wording of the base contract changes (expected to be frequent contract updates) i will have to either re-do a 'base' form and adapt it seven times, (to preserve conditional logic and as it's not as simple as a single cut and paste) or go through each document and paste the new contract wording into each paragraph area of each form.
Some forms have 10 or more separate paragraphs to paste in, so would mean 80+ cut and paste operations.
I was wondering if I can protect a 'base' contract wording and 'pull' that wording into each of the 7 other variations so my contract wording cannot be accidentally mis-pasted into say 1 or 2 documents? I can see potential for error with over 80 paragraphs to update.
Thanks
Garvan

Hi Garvan,
Thanks for reaching out to Jotform Support. I'm an AI assistant. I'll do my best to help you until someone from the support team is available.
To efficiently manage frequent contract updates across multiple forms with many paragraphs, you can use the Field Manager App. This tool allows you to edit a field in one form and then copy that field into your other forms. This way, you can maintain a 'base' contract wording and pull it into your other forms, reducing the need for repetitive cut and paste operations and minimizing errors.
Here’s how to get started:
- Visit the Field Manager App at https://fieldmanager.jotform.io/.
- Edit the contract wording field in your base form.
- Copy the updated field into your other forms to keep them synchronized.
This method should help you avoid the issue of having to update 80+ paragraphs manually across multiple forms.
Give it a try and let us know how it goes.
Let us know if you have any other questions.
Best regards,

Hi Garvan,
I would also recommend what our AI Agent suggested, which is using the Field Manager app. This way, you can easily select the form fields that you want to copy to another form. Let me walk you through it:
1. Login to your Jotform account and go to the Field Manager page.
2. Click on Manage Fields and in the window that opens, click on Allow.
3. Next, click on Open a Form to Begin, select the form whose fields you want to clone, and then click on Continue at the bottom-right of the window.
4. Then, click on Open a Second Form to Clone Fields and select the target form where the fields will be cloned and click on Continue.
5. Next, select the fields you want to clone from the first form, and click on the Blue Arrow to clone the fields to the second form.

Hi Garvan,
I also would like to add, if you choose to use the Field Manager app to clone certain form fields in the other forms, you will have more freedom to apply Conditional Logic for each form, according to the corresponding fields. But if that’s not exactly what you’re looking for, can you explain a bit more so I can help you better?
Once we hear back from you, we'll be able to help you with this.

Hi Eliza yes this might be useful, I tried this but got stuck once my forms were merged, I have 2 specific issues;
- Can you advise if the conditional logic associated with the field in either of the pre-merged documents come through with the field?
- Can you advise how to 'save' the new merged form, I think Its by cloning from a URL which I've seen but can't find in my support tickets
Thanks

Hi Garvan,
The Field Manager App does not transfer conditional logic between forms. It only copies fields, not the associated conditions. When you merge fields using the Field Manager App, changes are saved automatically. Any movement, modification, or removal of fields is instantly reflected in the form in real time.
Reach out again if you have any other questions.

Hi so this is a little confusing with live forms.
I am bringing in my fees form first (which will change for 8 contract types) and on the right i'm joining with Base Terms - but then this is the right hand form that is changing, so I assume for this to work I need to bring the base terms in first but then add the fees? when I do this merge for the next 7 documents with different pricing - is this correct?

Hi Garvan,
The Field Manager App allows you to clone fields from one form to another, making it easier to manage fields without having to recreate them across all 8 forms, but not its logical conditions. As you mentioned, you’ll need to have a base form and then copy the necessary fields into the other forms. But, if you’re adding fees that vary between forms, you can still use the Field Manager to copy the structure, but you’ll need to manually update the fee values in each form since those differ.
