I'm working on updating a complicated form that was created last year by someone who is no longer with our school.
The email FAN order receipt should ideally show the user the number of items they ordered, the total price for the specific item, then their total number of items and their final price.
Currently the email lists all of the items available for sale regardless if the item was ordered, and 2 new items that should list below Deluxe Mixed Nuts are not showing up.
I'm not sure how to make any changes, please advise.

To customize your email so it only shows ordered items with their quantities and prices, and to add new items, follow these steps:
- Go to Settings in your Form Builder and select Emails.
- Edit your Notification Email by clicking the pencil icon.
- Use the payment field tags with suffixes like {myProducts:total} to display specific details such as item total price and quantity.
- Make sure your new items are added in the Product List field and check that the email template includes their tags properly.
This way, the email will dynamically show only the items ordered with their totals and the final price.

It’s possible to display only the items that were actually ordered in your email, along with their quantities, product item price, and the overall total price, by placing all your products under a single Product List element. You can then organize them using the categories feature and include the Product List field in your email to reflect the correct order summary. Let me show you how:
1. In Form Builder, click on your Product List field, and click on the Gear icon.
2. In the Product List Properties window, click on the Category tab.
3. Then, toggle Enable Categories to the On position, enter your category name, and click on Add.
4. Under the Added Category, click on the Dropdown and select the products that you want to include in this category.
You can add as many categories as you want by repeating the steps. Check out the screencast below to see how it'll look when you add the three categories:
Then, in your Autoresponder Email, make sure to add the Product List element field tag to include the order summary. Let me show you how:
1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
2. In the menu on the left side of the page, click on Emails.
3. Then, hover your mouse over the Autoresponder Email, and click on the Pencil icon to customize the email content, click Save, and you’re done.
1. In Form Builder, select the Product List element, and click on the Credit Card icon on its right.
2. In Payment Properties window, click on Add Payment Connection.
3. In Payment Connection window, select your existing payment connection or click Add New Connection to set up your preferred one. (In this example, I used my existing Stripe connection.)
It’s important to note that for this workaround, it will not show the subtotal for each specific item in the email, but we can display it while the user is filling out the form. Let me show you how:
1. In Form Builder, select the Product List element.
2. While selecting the Product List element, click on the first product item and click the gear icon located at its bottom right corner.
3. In the menu on the right side of the page, toggle ON the Show Subtotal on Form section.
4. Click Save to apply the changes.
Again, with this workaround, since we’re using a single Product List element, the email can only show what’s available through that element’s field tag, meaning it can display the ordered items, their prices, and the total, but not the subtotal for each individual product. This is because the Product List is treated as one field, so we can’t reference individual product totals separately in the email like in your original form.
In your original setup, each product was created using separate fields, like number fields or paragraph fields, which allowed more granular control. That approach lets you display the exact subtotal per item in the email, but because we can’t predict which products a user will select, the email has to include all fields, whether or not that item was actually ordered, which can make the email longer.
The current workaround is helpful because it automatically displays only the ordered items, making the email cleaner and saving space by skipping unselected products. You can choose whichever approach works best for your needs: more control and detail with the original setup, or a simpler summary with the Product List element.

I don't think I can make changes to the form because there is a specific way the submissions need to be organized and I can't risk altering that. Is there any sort of workaround that only involves making changes to the email notification?

Currently, because your form uses separate fields for each product, rather than a single Product List element, the autoresponder email will list all items, ordered or not, since each field must be accounted for manually in the email template. Unfortunately, there’s no built-in way to conditionally hide unselected items in the email using this setup.
The only way to have the email show only the items ordered, along with their quantities and total price, is to consolidate all products under a single Product List element. That field automatically includes just the ordered products in the email using its tag, making for a cleaner summary. If you'd like, we can submit a feature request to our developers about what you're trying to achieve but as to when or if it's developed depends on their workload, how viable it is, and how many other users also request it.
