Inquiry on Outlook Integration

    I work in our IT department, and we have some people that are looking at integrating Jotforms with Outlook. What kind of permissions does it need to Outlook, and what information is saved in Jotform, if any. What information would Jotforms have access to in Outlook?

    Thanks for reaching out to Jotform Support. Jotform's Outlook integration is the Outlook Calendar. Jotform offers a two-way integration with Microsoft Outlook Calendar and the Appointment field. This integration allows your form to sync with your Outlook Calendar to prevent double-booking by checking your calendar in real time and showing only available time slots.

    Regarding permissions, when you integrate Jotform with Outlook Calendar, you will be asked to authenticate and authorize access to your Microsoft account. This authorization allows Jotform to:

    • Read your Outlook Calendar to check availability and prevent scheduling conflicts.
    • Create, update, or cancel calendar events based on form submissions.
    • Send event invitation emails to attendees using the email addresses collected from your form.

    The information saved in Jotform includes the appointment details submitted by respondents, such as date, time, and any additional form data you choose to link to the calendar event (e.g., name, email, phone, description, meeting location). Jotform accesses only the Outlook Calendar information necessary to sync appointments and does not access your emails or other Outlook data beyond what is needed for calendar management.
