How to allow multiple users to edit the same submission?

Hi there,

I am interested in moving our nonprofit organization over from Submittable to Jotform. One feature that Submittable currently offers is the ability for multiple form respondents to collaborate on filling out a form. Is this something that Jotform offers or is looking to build into their features in the near future?

Hi Candice,

Thanks for reaching out to Jotform Support. Yes, we have an option to allow multiple users to edit the same submission on the form. You can add an Edit Link to the Autoresponder Email to allow users to do that. Let me show you how to do it:

1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings. 
2. In the menu on the left side of the page, click on Emails.
3. Hover your mouse over your Autoresponder and click on the Pencil icon to customize it.

4. Click on the Email Content window, then click on Form Fields, and select Edit Link.
5. Customize the Edit Link the way you want, and when you're finished, click on Save on the bottom-right side of the Email Content window.

After submitting the form, submitters will receive an email like the one below. Once they click on it, they'll be able to edit their submission:

Thanks Shaina! So it sounds like multiple people can collaborate on a form once it's already been submitted, but not while it's being filled out? Is that correct?

Hi Candice,

To clarify, Jotform allows multiple users to edit the same submission after the form has been submitted by sharing the Edit Link in the autoresponder email, as explained earlier. However, collaborative real-time editing of a form while it is being filled out by multiple respondents simultaneously is not currently supported in Jotform.

What Jotform does offer is the Form Collaboration feature in the Form Builder, which allows multiple team members to work together on building and editing the form itself simultaneously. This feature includes an auto-save function and shows who is working on which part of the form. But this collaboration is for form creation and editing, not for multiple respondents filling out the same form at the same time.
