How to dynamically populate multiple fields into a Jotform Sign based on a Jotform Form?

    I have a problem that I'm unsure that Jotform can assist with. Here is a brief overview of what I would like to occur:

    1) Sales person completed a Jorform Form which includes client information and pricing, including 2 points of contact for the client

    2) Sales manager approves the information on the form,

    3) Information from the salesperson JotForm is then prefilled into a new Jotform Form, which is then sent to both of the contact points at the client as a Work Order that only requires their signature and data to complete the work order

    3) Client Contact 1 signs the contract, this signature then triggers the contract to be sent to Client Contact 2

    4) Once completed, the contract is fully executed and client can start services.

    Here are the problems I'm running into

    On Step #4:

    • If I use a Jotform Form, I can add 2 signature fields but then I have to make the form editable for #1 to sign and then #2 to sign. When the form is editable, the Jotform signature is not longer legally binding
    • If I try and use Jotform Sign as a stand-alone document, I can properly add in 2 signature fields and have an order of operation so that the contract remains legally binding. However, I am no longer then able to pull in data from Step 1 and populate the necessary information into the Jotform Sign

    Are there any work around that would allow me to dynamically populated multiple fields into a Jotform Sign based on a Jotform Form or other data set so that I can capture 2 signatures and remain legally binding?

    Hi Harness_Ops,

    Unfortunately, it's not possible to prefill Sign Documents with data from a form, if that's what you'd like to achieve.

    Have you considered using a Smart PDF Form? It allows you to upload your contract's PDF, and once the form is being filled out, the related PDF will be automatically populated with the signatures of client contact 1 and client contact 2. An advantage of this solution is that you can enable the timestamp to be shown on the PDF, certifying date and time of the signature.

    This approach allows you to create your flow from the Sales person to the Sales Manager, to client contact 1 and 2, since you won't be using the Jotform Sign automation.

    Thanks for the response, I did look at the PDF solution but the Form we have build for our sales people has custom calculations and conditional logic so it does not translate well into just filling out a PDF.

    If there is an opportunity to vote for product enhancements, I would add my vote to a more dynamic Jotform Sign functionality.
