Emailing form to 600+ people & Importing data to track RSVPs

    Hi there,

    I have two questions:

    1. I will be emailing my form to 600+ people to fill out. Am I able to do this on the free tier?
    2. I have created a form for people to RSVP to my event & I have created a table that the data is going into. I have a list of attendees on another excel sheet, that I want to upload to the table, so the attendees can be automatically ticked off by Jotform when people RSVP. I want to see who is attending and who isn't attending/hasn't RSVP'd at any given time. How am I able to do this?

    1. On the free tier, you can send your form to 600+ people, but there are limits on form submissions and storage. Also, free accounts can only set one notification email recipient per form, so managing responses might be limited.

This way, when they RSVP, their status can be automatically updated in the table, allowing you to see who has responded and who hasn't.

    1. What do you mean by this - Also, free accounts can only set one notification email recipient per form, so managing responses might be limited.

    Regarding the notification email limitation on the free tier: You can only set one notification email recipient per form. This means only one email address will receive the submission notifications. To add multiple recipients, upgrading to a paid plan is required.

    About the Send Form button in Jotform Tables: You can add it by inserting a new column in your table, selecting the Buttons tab, then choosing Send Form. This button lets you send prefilled forms to your attendees using data from your table. When clicked, it emails the form to the specified recipients with prefilled information.

    With the second question

    I want to upload the list of 600 people to a table. I will then email 600 people the link to the form. The people will fill the form in, and when they do, I want the table to be able to update to 'coming' or 'not coming'. If the attendee is not in the table when they RSVP, I want the name to be added.How do i do this

    Hi Hannah,

    You can upload your 600 attendees list to Jotform Tables. Then, send the form link to all attendees separately or in bulk.

    To update attendance status automatically, enable the option in your form settings to allow users to edit their submissions. When attendees submit their RSVP, their status can be updated in the table.

    If someone not on the original list RSVPs, their submission will be added as a new entry in the table automatically.

    This way, you can track who is coming, not coming, or hasn't responded yet.

    Hi Hannah,

    To link your existing form to a table with your 600+ invitees, go to Jotform Tables and add a new tab. Select Connect to Form, then choose your RSVP form from the list. This will create a connected table where you can manage submissions.

    You can also upload your attendee list to this table and use the Send Form button column to send prefilled forms to your invitees. When they submit the form, their responses will update the table automatically, and new submissions will be added as new entries.

    This setup helps you track who is coming, not coming, or hasn't responded yet.

    Hi Hannah,

    Thanks for reaching out to Jotform Support. You can import the data to the Table then create a Send Form button to your invitees. It's easy to import a file into Jotform Tables. Let me show you how:

    1. Go to your form Tables page, and click on New Tab on the top-left side of the page.

    2. In the window that opens up, click on Table and then Import Data.

    3. Click on Upload File and select your file or simply drag and drop your file.

    4. Click on the Downward Arrow icon in the Choose Tabs To Import section, and toggle On the Set The First Row As Column Headers option.

    5. Click on the Short Text option to change your column types.

    6. You can untick the tabs you don't want to import, and then click on Import Data.
