Update the existing contacts to HubSpot

    hello,

    Just wondering how I make it so new submissions get updated to previous HubSpot contacts.

    I would like it so all sections of Evidence Type, Evidence Details and Evidence expiry date get updated once people have submitted the form

    Hi Abigail,

    Thanks for reaching out to Jotform Support. You can integrate your form into HubSpot and toggle on the Update Existing Records option. Let me walk you through it:

    1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings.

    2. Click on Integrations on the left side of the screen.

    3. In the search bar, enter HubSpot and click on it.

    4. Choose an action and click on the Next button.

    5. Connect your HubSpot account and click on Add Action button.

    6. When mapping HubSpot and form fields, make sure that the Update Existing Record is enabled.

    7. Finally, click on the Save button, and you're done.

    Hi Abigail,

    In the Match your selected fields with existing records, the record in HubSpot will automatically update, if the submission matches an existing company name and email in HubSpot.

    To know if it has updated successfully, you will have to check the record manually in your HubSpot.

    hello,

    What if instead of 'updating' as such I just want it to add into specific new contact properties in HubSpot sections


    --> In HubSpot clients have "record ids" these are on my form to be filled out, can this be used to link the JotForm submission to contacts within HubSpot?

    Hi Abigail,

    Just to clarify, if you want to use the HubSpot Record ID from your form to link submissions to specific contacts and update their properties, that’s not currently supported directly through Jotform’s standard HubSpot integration. Here’s what you need to know:

    • Jotform matches and updates existing HubSpot contacts based only on mapped fields like Email or Company Name. The internal Record ID used by HubSpot cannot be used as a matching key in the integration.
    • If your form includes Email or another unique identifier that exists in HubSpot, you can enable the Update Existing Record option. This way, submission data will be applied to the correct contact if the email matches.
    • If you want to update specific contact properties, you can map your form fields to custom HubSpot properties during the integration setup. These can include fields like Evidence Type, Details, or Expiry Date.

    To summarize:

    • HubSpot Record IDs can be included as fields in the form, but they won't be used to match records automatically.
    • Use Email or Company Name for matching and updating.
    • Map each form field to the correct HubSpot contact property for accurate updates.
