Shared Folders No Longer Visible

    I used to have subfolders under shared with me, in case someone shares the whole folders to me, but now they're gone. Hundred of forms which used to be organsied well are now mixed up in one list. This is not a good feature that Jotform has changed. I've been using this for more than 10 years, so now it's difficult to track form and transfer ownerships.

    This is easy explorer feature, same as shared google drive, in which Jotform should not remove them.

    Hi Wirongrong,

    Thanks for reaching out to Jotform Support. I understand your concern about the loss of folder organization under the 'Shared with me' section, which has made managing and tracking forms difficult for you after many years of use.

    As I have checked, this happens because sharing with the Subuser structure had been grandfathered. With this new update, we no longer allow subuser-sharing of folders/labels. If a folder/label has been shared with the subuser structure before, it will list the forms without any indication of the owner’s folder/label name.

    Not a fan of this at all. My inbox has blown up today from users asking what happened and where the forms went.

    In the future, I'd highly recommend better communication on your team's part. I also hope you consider bringing this back.

    Are there any solution to solve this? Since our work will be chaos without this folder organisation.

    Everytime I share the folder, it goes to the subuser setting. So I don't know how to make them know their folder.

    Is this feature can overcome by using 'Team'? How many one account can create team?

    We are not ready to move to enterprise, since our organisation is beyond our control. We use this just in our group of around 50 people. And we are now using less than 10% of the resource in the current package.

    and how to change the owner of the form. This feature is also lost in the current version

    Hi wirongrong,

    Regarding the loss of subfolder visibility under 'Shared with me,' this change is due to the discontinuation of the subuser-sharing folder structure. Unfortunately, forms shared via the old subuser method now appear in a single list without folder organization.

    As an alternative, Jotform offers the Teams feature, which allows creating shared workspaces with team folders to organize and manage forms collaboratively. However, Teams is primarily designed for Enterprise customers, and the number of team members and features depend on the Enterprise plan. Since you mentioned not being ready to move to Enterprise and having around 50 users, this might not be the ideal solution for your current setup.

    For transferring form ownership in the current version, the process involves the recipient creating and sharing an empty folder with you. Then, you move the forms into that folder, which transfers ownership to the recipient. This method replaces the older ownership transfer feature.

    Unfortunately, without upgrading to Enterprise, the folder-sharing and ownership transfer options are limited, and the previous subuser folder organization is no longer supported.

    I think this is unfair to customer to remove the key feature which is essential to the main workflow we have been setup for several years.

    Our Fac use 2 main accounts of Jotform to manage the works, one is my own personal account , the other one, belonging to the Bangkok School of Tropical Medicine, is in which the we have around 50 people using their own personal account to create form and then transferred to this to relase their personal quota. As I mentioned, the paid account used up less than 1% of the quota limit on what we have paid for.

    But now you come back to say that we need to pay more as enterprise version to get more of what we don't need.

    Our domain belong to mahidol University, in which there are more than 20,000 people and the management of the domain is out of our scope and control, therefore, going for enterprise option is not possible anyway. This leave us no option to go and we may need to consider using your product.
