I have made a form for a rental unit business, and once a customer pays for a new rental unit, they first receive a receipt email, and then we have a second autoresponder set up (Gate Code Autoresponder) to forward them a welcome email along with a gate code.
We also need to send a unit code. This unit code is pulled from a list and then the same number is not used twice.
Is it possible to included a number (in the Gate Code Autoresponder email) that will pull from a excel file or csv file? And then the next time the Gate Code Autoresponder is emailed, it would use the next number on the list.
For instance on the first Gate Code Autoresponder email it would have this info:
Universal Gate Code: 2025
Unit Code: 1003And on the second Gate Code Autoresponder email it would have this info:
Universal Gate Code: 2025
Unit Code: 1006The Universal Gate Code number would stay the same, but the Unit Code number would pull from the next number on the list.
Is this possible, and how would I do it? Thanks for your help!

To my understanding, you want to include a unique unit code in your Gate Code Autoresponder email that pulls from a list (like an Excel or CSV file) and ensures the same number is not used twice, while keeping the Universal Gate Code constant. Note that Jotform does not natively support pulling sequential values directly from an external Excel or CSV file for autoresponder emails.
However, you can achieve this by using an integration or automation tool such as Zapier or Integromat (Make), which can connect your form submissions to a spreadsheet where you manage your unit codes. The general workflow would be:
- When a form is submitted, the integration checks your spreadsheet for the next available unit code.
- The integration assigns that unit code to the submission and updates the spreadsheet to mark that code as used.
- The integration then triggers the Gate Code Autoresponder email with the assigned unit code included.
This way, the unit code is unique for each submission and pulled sequentially from your list. If you want to keep the Universal Gate Code the same, you can hardcode it in the autoresponder email content.

Let me ask this - is there a way to do this in a different order, so everything stays in Jotform?
Could I have a list of numbers already predefined in the form (but invisible) so that when the form gets submitted with payment, it will send that number as a field in the form and then can be pulled into the Autoresponder - never leaving JotForm?
Sort of like the random number generator but a list of numbers instead? And then the number that is used will be removed or skipped over the next time?
Is something like this possible?

Hi Brad,
You can use the Unique ID widget as it generates a unique number for each submission. Let me show you how:
- In Form Builder, click on the +Add Element button at the upper left side of the panel to open the Form Elements menu.
- Go to the Widget tab, search for the Unique ID widget and add it to your form.
- Then, rename it as Unique ID.
Give it a try and let us know how it goes.

Ok - this is close. Can it pull from a list of numbers or does it need to be manually input?

Hi Brad,
The Unique ID widget in Jotform generates a unique value for each submission, but it does not pull from a predefined list of numbers. Instead, it creates sequential IDs based on a starting number and optional formatting, but it cannot reference or remove values from a custom list.
If you need to use a specific list of unit codes and ensure that each code is used only once, this functionality isn’t available natively in Jotform. To achieve that, you would need to use an external integration like Zapier or Make, which can manage the code list and assign the next available code upon each form submission.
To better understand your workflow and recommend the best option, could you share how you plan to manage your list of unit codes? For example, are you looking to upload a list once and have codes automatically assigned, or would you prefer to assign them manually within the form?

It is a predefined set of numbers that will be used, but it is a sequential list.
So say that first code would be 105, then the next number would skip 3 and be 108, and then skip 3 again to be 111 and so on.
So would that be possible with the Unique ID widget? Just a starting number then skip 3 digits for the next number?

Hi Brad,
As of this time, the Unique ID widget increments only by one for every new submission. This will ensure that different submissions contain unique IDs that you can check in Jotform Tables.

While the feature you’re looking for isn’t currently available at Jotform right now, we've gone ahead and escalated your request to our Developers.
