Forms: How to prepopulate forms using tables?

    I have collected attendee information from an initial jotform registration form. Now, I would like to create a check-in form that enables volunteers to do the following:

    • Search the jotform table containing registration information for an attendee
    • Indicate that an attendee has check-in (likely via radio button)
    • Submit form that updates jotform table cell and sends automated email

    I am open to other methods and approaches. I have seen the spreadsheet to form widget as a potential option, but that is not an ideal resolution because I am expecting on-site registrants which would render the widget out of date.

    Hello hbcufilmfest,

    Thank you for reaching out to Jotform Support. I understand that you would like to prepopulate data from your other forms tables, however, this is currently not an available feature. The Prefill Feature is the one currently available for now but it does not work like it is on the Spreadsheet to Form Widget. If you are using Salesforce, you may also check How to Prefill Your Form Using Data From Salesforce as this can dynamically prefill forms from your Salesforce Data. Otherwise, the only way to achieve it is the preadsheet to Form Widget but you need to update your file from time to time. Let me show you how to use it:

    1. Create a spreadsheet with your data structured like you see below. Make sure that the column names in the spreadsheet match the field names on the form, and include a unique column, like an ID, so the data can be distinguished.

    2. In Form Builder, click on the Add Form Element menu on the left side of the page.

    3. Click on the Widgets tab, search for the Spreadsheet to Form widget and add it to your form.

    4. In the menu on the right side of the page, upload your data file. (You can simply drag & drop your excel file to the Upload File area.)

    5. Then, click on the Downward Arrow icon in the Access Code Column option and select the unique column.

    6. You can also customize texts used in the widget. After you complete everything, click on the Update Widget button at the bottom right of the menu.
