How to purge deleted entries?

    Hi Why I am not able to delete data from Trash - It is still showing as space occupied? The video you are showing does have same screenshots in my account what I see in the vidoe, which has to option to delete forever

    Hi cfotaxpayment,

    Thanks for reaching out to Jotform Support. You'll need to delete your trashed submissions in Jotform Tables. Let me show you how:

    1. In Jotform Tables, click on the Three Dots icon next to your form title in the tabs.
    2. In the dropdown menu, click on Trashed Entries to open the Trash menu.
    3. Then, in the Trash menu on the right, click on the Checkboxes to select the submissions you want to purge. To select all, click on the Select All button.
    4. Now, click on Delete Forever, and in the warning window, click on the Delete button to confirm.

    How to purge deleted entries? Image 1 Screenshot 20 To avoid permanently losing submission data, it’s recommended to Download Form Submissions as Excel, CSV, or PDF. Purging deleted submissions will free up your Submission Storage and Upload Space but won’t affect other limits. You can also check out our guide about Account Usage and Limits for more information.

    Hi cfotaxpayment,

    I saw that you're on the Trash page for deleted forms. My colleague is referring to the Trash menu for deleted entries. I've made a screencast to demonstrate it. Check out the screencast below:

    As you can see, I'm deleting the trashed entries in the Trash menu.

    Your response is not clear - can you tell from my snapshot as to how do I navigate to your snapshot?

    Hi cfotaxpayment,

    I understand the confusion. Based on your screenshot, it looks like you're working with Jotform Sign documents. In Jotform Sign, it's currently not possible to delete individual submissions like in regular forms. Instead, the only way to remove signed documents is to delete the entire document, which will move it to the Trash folder.

    These trashed documents are automatically deleted after 30 days. Unfortunately, there's no option to permanently delete them immediately or purge them manually like in Jotform Tables.

    It has been 30 days and still the trash items have not been deleted yet

    Hi cfotaxpayment,

    After checking, I see your account had reached Upload Space limit but found no uploaded file in your form, so I have refreshed your account limit to show the latest count. Your account should no longer show over-limit message and your form should work as it should.

    I see the space now, but deleted items still appear in the trash, they are beyond 30 days, they wont be deleted

    Hi cfotaxpayment,

    Regarding the deleted items in your Jotform Sign trash not being deleted after 30 days, this is expected behavior for Jotform Sign documents. Unlike regular form submissions in Jotform Tables, where you can manually purge trashed entries, in Jotform Sign, trashed signed documents are automatically deleted after 30 days but cannot be manually purged or deleted immediately.

    Since you mentioned that the deleted items have been in the trash beyond 30 days and they still appear, this might be an unusual delay or issue. Normally, trashed entries take up space until they are permanently deleted after 30 days, but for Jotform Sign, the system handles this automatically without an option for manual deletion.

    If you want to free up space, your account limits have been refreshed already as mentioned, so the space should now reflect correctly despite the trash showing those items.
