Hi silthonen,
Thanks for reaching out to Jotform Support. Unfortunately, we don't currently offer support in Dutch. I'll try to help you in English using Google Translate, but you can reply in whichever language you feel comfortable using.
Now, coming back to your question, I understand what you’d like to do, but I’ll need a bit of time to work out a solution. I’ll get back to you shortly.
Thanks for your patience and understanding, we appreciate it.

Hi silthonen,
I understand that you want the submission data to be in an Excel file and attach it instead of the PDF file in the to the email alert in the approval flow. You will need to create an Excel Report for the form and use an Email element in the Approval Flow Builder where you can include the link to the Excel Report. Let me show you how:
- How to generate the Excel Report.
1. In My Forms page, click on the Form you want to get the data from.
2. Click on the Reports button at the top, then click on the Add New Report button, and select Excel Report on the next page.
3. Configure the report base to your preference. You can control what data to show.
4. Once done, click on the Create button, then Copy the link and Download it.
- How to Attach the Link in the Approval Flow
1. In Form Builder, click on Settings tab, then click on the Approval Flows tab.
2. Hover your mouse on the Pencil Icon to Edit an existing Approval Flow.
- For this demo form, we will assume there's already an existing approval flow set up.
3. In Approvals page, click on the Email element on the Approval Flow, then click on the Envelope Icon to open the Settings.
4. Under Email Content, click on the Icon next the Image Icon to Insert the Report Link.
5. Once done, click on the OK button, then click on the Save button.
Check out the screencast and screenshots below to see how the flow works:
- How it would look on the Email Alert
For this demo form, we set the Email element to be sent out to the responder, but you can set it to the approvers as well, depending on how you want your Approval Flow to work.
- The Excel File.
Once the receiver of the email where you inserted the Excel Report click the link, the file will be downloaded and will see the submission data.
Keep in mind that the Excel Report will show all the submissions made on the form. So if you prefer to only get an Excel Report for the specific submission that you approved, then it's not possible. If that’s not exactly what you’re looking for, can you explain a bit more, so I can help you better?
