Its existing electronic health record (EHR) vendor wasn’t able to customize intake paperwork by appointment type to reflect the expanded services, which created a significant administrative burden for staff. Team members would have to print all the appropriate forms for each appointment for patients to fill out upon arrival, and then manually scan or enter the form data into the EHR system.

HIPAA-friendly, AI-assisted automation

For example, Vista Healthcare created a pain follow-up form for patients who have had appointments with the practice’s pain specialists, which it uses hundreds of times a day. The Shift Health AI bot pulls reports of patients who have seen a pain specialist from the EHR system. The report is sent via Secure File Transfer Protocol (SFTP) to the practice’s patient interaction platform, which texts a secure link to the pain follow-up form to the patient — all automatically.

A prescription for efficiency

With Jotform Enterprise, Vista Healthcare’s operational efficiency has surged, allowing it to manage a higher volume of patients.

“We were able to reduce the number of medical assistants needed for charting since we were getting information ahead of time and auto-populating that into the chart,” says Money, “which reduces the overall workload for the staff.” Transitioning to digital forms also produced notable cost savings on paper and ink.

With conditional logic, patients see only the form questions that are relevant to them based on their previous answers.
