Please Read - Important Notes

* A $75 non-refundable deposit will hold your entry and camping site until 9/5 when full payment is due.

* Ride will be limited to 70 Riders for meal management purposes. Grill Master Gene and our wonderful new friends Keith and Nacy will grill up an amazing (and life changing!) steak dinner for us on Friday Evening at 6:30 pm sharp. Please bring a side to share. Steak, baked potatoes, rolls, lemonade and Iced Tea will be provided.

 *If you would like an Iron Horse hoodie and/or sweatshirt they MUST be paid for by 8/20 and accompanied by a ride entry with deposit of $75.00. We don't order extras.  This year the hoodies and sweatshirts are black.

*Ladies, we do offer a short sleeved women's V-Neck instead of the long sleeved uni-sex standard ride T-shirt.  These are offered at no additional charge but you "must" enter the ride by 8/20 so they can be ordered, these are a custom order.

*Your campsite will not be reserved unless you submit a minimum $75 deposit with entry.  Balance due on 9/5 or late fees will be incurred.

*Due to increased ride costs, specifically T-shirts, we must have a deposit by 8/20 to guarantee a shirt in your size.  We're not going to order many extras.

 

A note about our ride shirts: All riders receive a unisex ride shirt OR a women's short sleeved V-neck with your entry if entered by 8/20. (the day we have to order shirts). Later entries will be given a standard unisex shirt.

***On Friday evening we will again be having "the grill out" for everyone in camp.  Meats and grills have been generously donated by our Grill Master Gene Van Der Walt, this is and will always be "the" best steak dinner of your life! :-) Plates, silver, lemonade, iced teas, and baked potatoes will be provided.  Please bring a side dish to share and any other beverages of choice. Let us know how many people will be accompaning you to the ride so we have enough to grill!***

ENTRY AGREEMENT & RELEASE

*Entries and camping fees are non-refundable after 9/1/2025.* Partial refunds less non refundable $75 deposit until 8/30/2025.

 

READ THIS CAREFULLY BEFORE SIGNING THIS IS A RELEASE OF LIABILITY 

The Undersigned acknowledges that distance horseback riding is a sport which carries an inherent risk, which means a danger or condition that is an integral part of an equine activity, including, but not limited to, any of the following:

 (a) The propensity of an equine to behave in ways that may result in injury, death, or loss to persons on or around the equine;

 (b) The unpredictability of an equine's reaction to sounds, sudden movements, unfamiliar objects, persons, motorized vehicles, or other animals;

 (c) Hazards, including, but not limited to, surface or subsurface conditions;

 (d) A collision with another equine, another animal, a person, or an object;

 (e) The potential of an equine activity participant to act in a negligent manner that may contribute to injury, death, or loss to the person of the participant or to other persons, including, but not limited to, failing to maintain control over an equine or failing to act within the ability of the participant.

 (f) The undersigned fully understands that any unsportsman like behavior on behalf of themselves or their crew will result in disqualification and ban from future events.

 (g) The undersigned accepts all risk to the potential exposure to COVID-19, or any other communicable disease,  by attending this event.  Additionally I accept that I alone am the only person responsible for my health as it relates to potential exposure or any other injury or illness that may result from my participation and/or attendance.

(h) The undersigned accepts that our base camp is Elkins Creek Horsecamp and is private property. All of EC related rules and guidelines will be followed.

The Undersigned, in consideration of acceptance of his/her entry in this ride, does hereby for himself/herself, his/her heirs, executors and administrators, waive and release all ride personnel and the sanctioning Ride Organizations, their officers, and all individual members thereof, and all other persons, regardless of their capacity, in any way connected with this event, their representatives, heirs, executors, administrators and assigns for any and all right, claim or liability of any kind or nature the Undersigned might have.  Further, the Undersigned does hereby acknowledge that said release will extend to any accidents, damages or claims arising out of his/her entry caused by his/her own acts or anyone or any animal within his/her control.

The participant has read and agrees to abide by Ride Management, AERC, OAATS, and Elkin's Creek Horse Camp facility rules.

The following items are for sale at the request of our riders.  You are under no obligation to purchase any of them. :-)

 

Items may "only" be sold to those attending the ride, we are not offering these items by mail.

 

Hoodies and sweatshirts are special orders and "must" be paid for by August 20th. We try to find the best quality and value for these items and we offer them at our cost.
