Outlook Calendar Integration: Connecting Appointment Option to Shared Calendar Without Password

    Hey Jotform Team!

    I want to connect the appointment option to a shared Outlook calendar that has no password. Do you guys have any advice on how I can go about this?

    Currently, I have it linked to a Calendly link, but communication is confusing since it's coming from multiple platforms

    You can connect your Jotform Appointment field directly to Outlook Calendar, so you do not have to rely on Calendly and multiple platforms. The integration works through your Microsoft account and supports two-way sync, which means Outlook events can block times on your form, and form bookings create/update events in Outlook.

    Set up the Appointment field with Outlook Calendar

    1. Go to your form in Form Builder.
    2. Click on the Add Element menu on the left, then under the Basic tab add an Appointment field (or select your existing Appointment field).
    3. Click on the Gear icon next to the Appointment field to open its properties.

    Connect to your Microsoft / Outlook calendar

    1. Go to the Availability tab in the Appointment Properties.
    2. In the Sync with Your Calendar section, select Outlook Calendar.
    3. Click on Authenticate, then log in and authorize access to your Microsoft account.
    4. If you have used a Microsoft account before, you can pick it from the dropdown or choose Use Another Account to connect a different one.

    Choose the calendar (including shared calendars)

    1. Open the Select Calendar dropdown and select the calendar you want to use. If your shared Outlook calendar is available under that Microsoft account, it will appear in this list and can be selected even though the calendar itself does not have its own password.

      • Attendees – Choose one or more Email fields from your form so invite emails go to respondents.

      • Meeting Location – Choose Microsoft Teams Meeting, Skype, Select From Form Fields, or Custom and enter a location.
    3. Click on Save to finish.

    From then on, appointments booked on your Jotform will automatically create events in the selected Outlook calendar, and existing Outlook events on that calendar will block time slots on the form, helping you avoid double-booking and keeping everything in one system instead of splitting between Jotform and Calendly.
