Zapier and Document Studio Integration to include a link back into Jotform

    Hi,

    I am using Document Studio to merge jotform submissions with a document. Now I would like to add the document studio link back into jotform so that the link to the merged document can be displayed in Jotform tables.

    I have viewed online tutorials which led me to Zapier.

    2. Including the generated document link in Jotform submissions

    • After Document Studio generates a document, you can configure it to output the link to this document.
    • The key is to then include this link back in your Jotform submission data, perhaps by updating a specific field within the submission record with the generated document's URL. You may need to explore Jotform's integrations or Zapier to connect the output from Document Studio to update your Jotform submissions.

    But I have not found instructions on how to accomplish the above task I want to accomplish.

    Hi chrisfiori,

    After looking into this further, I realized that you already have the document link. You only need to find a way to include the link in Jotform so that on form submissions, the document link will be included in the submission data. Could you confirm first that you have Document Studio document link?

    One way to add the document link to the form pre-submission, is to use Jotform Prefill features. Specifically, you can use the Manual Prefill option.

    Once we hear back from you, we'll be able to move forward with a solution.

    yes I do have the Document Studio document link. The merged document was generated when the form was submitted.

    I have also created a short field to insert the document link back into jotform.

    How to I get the document studio link which is located in the Google Sheets spreadsheet to Jotform field?

    Using Zapier to update your Jotform submission with the Document Studio link from Google Sheets:

    1. Create a Zap with Google Sheets as the Trigger: Set the trigger event to detect when a new row or update happens in your Google Sheets spreadsheet where the Document Studio link is stored.
    2. Set Jotform as the Action app: Choose the action event to update the submission. You will need to map the Document Studio link from the Google Sheets row to the specific short text field you created in your Jotform form.
    3. Match the submission: Use a unique identifier such as Submission ID or another unique field to ensure the correct submission is updated with the document link.
    4. Test and activate the Zap: Run tests to confirm the document link is correctly added back into your Jotform submission field, and then activate the Zap.

    Hi, I think I'm getting pretty close to making this work.

    However, on step 2, when I set the Jotform action, I do not get an option to "update the submission".

    Hi chrisfiori,

    The action that you're looking for isn't included in the default actions for Jotform in Zapier. To be able to update the existing submission on your form using Zapier, you can click on the Custom Actions tab under Action Events and then click on Create Action to generate a new action for Jotform.
